This page explains how Doctagd approaches AI-assisted and automated processing features.
Doctagd is a product operated by Project Paced Ltd.
1. Current Product Scope
Doctagd currently focuses on document automation, spreadsheet processing, template mapping, and document generation workflows.
When enabled, paid Smart Mapping & Setup helps Pro and Business users create an initial Word-template mapping, repair mappings in saved workflows, join columns, ask clarification questions and choose formatting. It is optional and runs only when a user explicitly submits an AI request. Ordinary previews and document generation do not call AI models.
2. Customer Content
Customer Content may include:
- spreadsheets
- templates
- generated documents
- workflow data
- API payloads
- saved configurations
Customers retain ownership of Customer Content.
3. Model Training
Doctagd does not use Customer Content to train generalized public AI models unless explicitly disclosed and agreed.
4. Automated Processing
Automated systems may be used to:
- extract placeholders
- suggest mappings
- detect patterns
- validate formatting
- generate previews
- improve workflow usability
Automated outputs may contain errors or inaccuracies.
Users remain responsible for reviewing generated documents and outputs before relying on them.
5. Third-Party Providers
Smart Mapping & Setup uses TypeSafe (Jev) and OpenAI. A submitted request may send all source column headers, up to three distinct sample values per column (each clipped to 100 characters), the selected field labels and settings, original mapping context, and the user's instruction or clarification answer. It does not send the full spreadsheet or Word template. Samples may be reduced to meet request limits without dropping candidate headers.
Only submit content you are authorised to share with these providers. Their processing and retention are governed by the applicable provider agreements; disabling response storage in an API request does not by itself guarantee zero provider retention.
Where applicable, subprocessors or infrastructure providers may process Customer Content solely to provide the relevant functionality. See the Subprocessors page for the current list of providers.
Doctagd caches AI proposals for 24 hours so reopening an identical result in the same owned session is free. Cached payloads become unavailable after that period and are removed by scheduled cleanup. Usage metadata is retained for 90 days and then removed by scheduled cleanup. Operational logs contain outcome counts, latency, token use and cost, not source text or raw provider responses. Browser session storage retains working suggestions and choices, expiring them after 24 hours.
6. AI Credits and Review
Pro includes 100 AI credits per UTC calendar month; Business includes 500. Linked seats share their billing owner's allowance. Annual plans reset monthly too. There is no rollover or automatic overage charge.
One submitted analysis covers up to ten selected top-level fields and uses one credit when it returns suggestions, a clarification question or an explicit no-match result. Submitting a clarification answer for further analysis uses another credit. Technical failures without usable results are refunded. Accepting or dismissing suggestions, manual mapping, previews and deterministic execution use no AI credits. Normal document allowances still apply to downloads.
Suggestions are not guarantees of correctness. Nothing is applied automatically: review sample results and accept each proposed change. Approved changes affect the current run; use Save as config to retain them. Saved deterministic rules remain usable after downgrade, subject to normal document limits. Service safety limits may temporarily pause AI access while manual operation remains available.

As the product evolves, this policy may be updated to reflect additional AI-assisted features or processing approaches.
